1. Sign-up for ECPro:
Go to the Sagehill Stables ECPro booking site and log-in or make an account:
Your username is the email used to register. If you forgot your password, click "forgot password" to reset. Can't log-in? View the FAQ Page to see if your questions can be answered there, or email us for help.
When creating an account, make sure the communications box stays selected in order to receive a notice to confirm your account. Check junk mail folder for verification email. Also be sure to put in a valid mailing address and phone number for contact information about your program or event.
Use the ECPro browser or download the ECPro app from the Apple Store or Google Play.

2. Create a rider:
You will need a rider on your account to register for an event (even if the event is non-riding like a Healing Beyond Words or Women's workshop). The rider details include your height and weight, emergency contact info and any relevant health info the coaches need. If you are registering for a birthday, you'll want to have your rider as the birthday girl/boy. You can have multiple riders on your account. The ECPro system will match up horse assignments based on the riders grade and height and weight, so although it can be estimated, you do want it to be pretty accurate. All kids attending the birthday will be prompted to create a rider profile as well when it send out the invitations!
Once a rider is created in the system, the office is notified. If you are a new client, your grade will be set to ungraded OR beginner until you have an assessment or have completed one of our riding programs. Advancing to the next rider grade is done once the coach has checked off all your learning goals! Some programs/classes are only available to riders in higher grade levels (novice, intermediate, advanced), so ungraded and beginner riders may not be able to see all events available on the registration system.
Once a rider is created in the system, the office is notified. 3. Check out your Account Home:
Your "Account Home" is the quick and easy place to see your dashboard, including your account status, outstanding invoices, available credit on your account (from e-transfers sent or lessons cancelled with 24-hrs notice or by the barn), available tokens and this is where you can register for events. Click on Account Home and select from the following options:
CALENDAR: SEE WHAT'S ON: Click here to see upcoming courses, events, programs, private lesson availability and fun events coming up. If you see something you are interested in, click on it and it will take you to the "Make a Booking Page". MAKE A BOOKING: This is where you will actually book your event, lesson package, private/semi-private lesson or party. You will need to enter the specific day of the program/event you saw on the calendar, then scroll down and see if shows up under headline below. If you don't see the lesson or event show up, it's possible that the event requires a certain grade level of rider to be able to book that is under or above the grade levels the riders on your account. COURSE BOOKINGS: If you have booked into a weekly lesson program such as the Discounted Introductory Riding Program, Parent and Me Program or Equestrian Development Program (EDP program; for riders after they've completed the Intro Program), click on Course Bookings to see your upcoming lessons. LESSON BOOKINGS: Want to see your upcoming fun events, volunteer shifts, private or semi-private lessons, or assessment bookings? Click on Lesson Bookings. EVENT BOOKINGS: Want to see your upcoming event bookings, click here. TOKEN PACKAGES: We have some lesson specials advertised that you can purchase via the Token Package option, including tokens for summer or winter specials (i.e., 4 lesson packages or discounted lesson programs), fun events and practice rides (for qualified novice, intermediate and advanced student). Look through the list of Token Packages available, then use them to book a private lesson, semi-private lesson or fun event! FUN EVENTS & VOLUNTEERING: If you are a current student, you may be able to book into some of our fun events and volunteer shifts! These will included things like Jump Nights, Trail Rides and more. You will need to have a achieved a certain level of rider grade to book into these events. PRIVATE LESSONS: If you are looking to book a one-time private lesson, assessment lesson, drop in lesson or if you've bought a token package for a special offer on 4 lessons, OR need to upgrade a missed lesson to a private make-up lesson, you can use this option to see when coaches are available and book in a lesson. If you've missed a lesson with 24-hrs notice, you'll have credit on your account and you can put it towards any lessons you book. PARTY BOOKINGS: If you are looking to book a birthday party, click on Party Bookings. EVENT BOOKINGS: If you are looking to book our Zip and Friends Petting Zoo, Women's Workshop, or other upcoming event, click on Event Bookings. ACTIVITY COURSE BOOKINGS: For Day Camps starting in 2026, click on Activity Course Bookings. |
4. Booking a course or fun event, using credit
Use the Make a Booking feature to book your event or service. View your course or program details, select your rider, select the horse (school horse if you don't have your own horse), add any notes you'd like us to know, and add the service to the basket.
Payment Plan:
If your program has a payment plan, such requiring a deposit and the option to pay the rest at a later date, you will be able to select that option before you check-out and go to your basket.
Paying with Credit (e-transfer, cash or cheque):
Once you are in your basket, you'll be asked if you accept the terms and conditions and proceed to check-out.
At the checkout, if you have any credit on your account, you will be able to apply it towards your invoice and then proceed to pay any remaining balance via credit card. If you don't want to pay with credit card, you'll need to e-transfer us (or provide cash or cheque) the amount owing and we will add the credit to your account, then you can proceed to book your service and pay with the credit. Please send us an email or note along with your etransfer, cash or cheque so we know what the payment is for and can add it to the payment notes. Boarders may also have credit on their account from horse/tack uses in the lesson program and leaser fees.
You can view your etransfer, cheque or cash payments by clicking on "payments" to see if the credit has been added to your account and your current credit balance.
Students/parents/clients should be aware that ECPro will atomically take students out of lessons with overdue invoices.

Booking a Practice Ride
If you registered for the EDP program and selected a 1/4 lease option with either 2 or 4 practices a month, you'll be added onto the system as a leaser and given either 2 or 4 tokens per month to use for practice rides. You can also purchase a practice ride token to use on the booking site, pay directly on the booking site for a practice ride, or, you can request to receive a free practice ride token if you have put in the required number of volunteer hours.
To book your practice rides, go to the "Make a Booking" page and select the date you would like to book your practice ride on (must be 12 hrs in advance). Or from the "Calendar: see what's on", select the day you want to book your practice ride on by clicking on the red highlighted "potential private availability" (this will also take you to the booking page for your selected date).
Practice rides are booked and found under the Private Lesson option on the booking calendar. "PR" is indicated on both the calendar and booking page as Practice Ride availability. There are 3 different practice ride "coaches" available 9am to 9pm daily, so up to 3 people could book a practice ride at the same time.
To book your practice ride, click a time you'd like to start your ride (remember to come 30 minutes early to tack-up). It will take you to a booking form where you can select:
Note: There is no arena (school) booked/reserved for practice rides, as students practicing riding will have to ride in the arena with lessons or use the outdoor arenas (see the barn rules for info on using the outdoor arenas and trail riding).
To see if\when the arena is busy for the summer session, right now to see the schedule you can view the "Calendar, see what's on" for the first week of lessons (July 6th through July 12th) to get an idea of when EDP courses are in the arena Monday through Sunday, and then use the same calendar to view the actual day of your practice ride for any additional events that are added on that specific day (we will get a better calendar view for the future but this is what we have at the moment)
Note for boarders: If you are trying to book a practice ride on a school horse, you will need to purchase a practice ride token in order to book. Because most boarders will automatically get a discount for school horse and tack fee + 10% for anything booked on the private lesson calendar, the practice ride fees automatically come out around $13/practice ride for boarders and we aren't able to turn this discount on/off just for practice rides (we will hopefully fix this in the future). So for now, please purchase the token and then use the practice ride token to book your practice ride on a school horse. Note - you cannot use extras to book things on the calendar, so make sure you purchase a token (email us if you have any questions or purchased an extra by accident!) Thanks!
Boarders that book in their practice rides on their own personal horse so we know when not use their horse in lessons - we will give you unlimited free practice ride tokens to use to put your personal practice ride schedule on the calendar for your horse. Let us know if you need these tokens!

Private lessons (lessons that are not via the EDP program, and are not fun events) are booked using the Private Lesson booking calendar. Private lessons are booked/available based on coach availability. Individual coaches are responsible for entering their availability into the system and then those times will show up on the calendar via their initials. To see the list of coaches (and find out whose initials are whose), you can click here to view our team members.
If you don't see your coaches availability on the calendar, email the office and we will coordinate with you directly or get the coach to update their working bookable availability on the calendar for you. Reminder that lessons need to be booked a minimum of 12 hrs in advance.
NOTE: "PR" stands for practice ride availability (there are 3 practice ride "coaches" available 9am to 9pm daily so up to 3 people can book a practice ride at the same time - see above for practice ride bookings).

Alternatively, if you are a boarder and you need a school horse, but you are still getting a boarder discount automatically, you will need to purchase a school horse & tack fee EXTRA from the boarders extra's (which will be added to your next months board bill). Once we receive the task notice that you need a school horse for your lesson, we can update the horse assignments to give you a school horse. This way you will still get your 10% lesson discount and just pay for the school horse & tack fee in addition.
